Projects

Manage all your projects and events in one place — from initial lead to completed work. Track values, deadlines, venues, expenses, and budgets across your entire pipeline.

Key Features

  • Two Views: Switch between a sortable list view and a visual pipeline (Kanban) board grouped by status
  • Live Stats: Dashboard cards show active project count, total pipeline value, contracted value, and upcoming events at a glance
  • Project Types: Categorize work as Single Event, Multi-Day Event, Production, Rental, Service, Retainer, or Custom
  • Status Tracking: Move projects through Lead → Proposal → Contracted → In Progress → Completed (or Cancelled / On Hold)
  • Priority Levels: Flag projects as Low, Normal, High, or Urgent
  • Events: Add individual event dates within a project (useful for multi-day or recurring engagements)
  • Expense Tracking: Log project expenses by category (equipment, labor, venue, travel, etc.) and mark items as billable to the client
  • Budget & Targets: Set an annual expense budget and annual revenue target per project; the system calculates monthly breakdowns automatically
  • Filtering: Narrow the list by status, project type, or priority
  • Search: Find projects by name, description, or venue name

How to Use

  1. Click New Project to open the project form
  2. On the General tab, enter the project name, linked account, type, status, priority, estimated value, and primary contact
  3. On the Dates & Venue tab, set start date, end date, deadline, and venue details (name, address, city, state, ZIP)
  4. On the Notes tab, add any internal notes
  5. Click Save Project — the project appears in your list immediately
  6. Click the eye icon on any row to open the full project detail view, where you can manage events, expenses, and budget targets
  7. To log an expense, open the project detail and click Add Expense — choose a category, amount, date, and optionally link a vendor and mark it billable
  8. To set financial targets, click Budget & Targets inside the project detail and enter your annual expense budget and annual revenue target
  9. Switch to Pipeline View (columns icon in the toolbar) to see projects grouped by status in a Kanban-style board

Tips

  • Use the Pipeline View to quickly spot bottlenecks — for example, too many projects stuck in Proposal
  • The Pipeline Value stat card totals all non-cancelled, non-completed projects so you always know what's in play
  • Mark expenses as Billable to flag costs that should be passed on to the client when invoicing
  • Set Annual Budget & Revenue Targets early in a project so you can track actual expenses against your goals
  • Filter by Urgent priority to surface the projects that need immediate attention
